Nature of Organization:  UNOLS (University-National Oceanographic Laboratory System) is a federally funded organization that facilitates and coordinates the use of federally supported oceanographic facilities. UNOLS is a community comprised of 50+ academic institutions that use and operate oceanographic facilities including 18 oceanographic research vessels. See www.unols.org [unols.org].

The UNOLS Office provides staff support and secretariat services to UNOLS, the UNOLS Chair, Council, and Committees as directed. The Office serves as a focal point for UNOLS correspondence and for central files on facilities, schedules, user requirements and related information. The Office advertises, arranges, supports and reports on UNOLS, Council and Committee meetings. The UNOLS Office at UW is staffed by 3 full time employees (one remote) and one 0.80 Full Time Employee.

Duties and Responsibilities:

– Assist in maintaining the UNOLS website (post events, upload docs, update pages, etc.)

– Assist with the ongoing project to organize, scan, and archive UNOLS historical files. Assist with recycling of files after proper archiving.

– Assist with the coordination and planning for UNOLS Committee meetings as may be necessary including meeting arrangements, taking meeting minutes, uploading presentations to the website, etc.

– Assist with administration of virtual meetings, through Zoom or other software

– Assist with coordination of Chief Scientist Workshop cruises including tracking CSW participant statistics, contacting Cruise Volunteers, and soliciting feedback from CSW participants for their experience for future promotional content.

– Assist with updates to social media

– Upload, format and publish videos to the UNOLS YouTube page

– Document responsibilities and tasks in the Project Assistant Manual

– Assist with the editing and publication of quarterly UNOLS Newsletters.

– Assist in the management of the Marine Facilities Planning database. Responsibilities could include:

– QA/QC of schedule data

– User Assistance

– Compiling Help documentation (written and screen captures)

– Assist with quarterly vessel safety reports.

– Assist with updating technical documentation on the UNOLS website.

– Other duties as assigned.

Minimum Qualifications:

– effective oral and written communication skills

– comfortable with using the Google suite of applications including Gmail, Drive, Forms & Calendar

– ability to learn Zoom

– ability to learn how to update the UNOLS Website

– good administrative skills – scanning, filing, taking minutes/notes, etc.

– ability to lift 50 lbs.

– must be a self-starter that can work with little or no supervision

– must be able to prioritize tasks
